Speaker Communications & Meetings

Professional Conduct, Response Times, and Communication

  • Speakers to respond to SBC within 24 to 48 hours on all event requests or profile matters.
  • Timely communication ensures accurate proposals, booking confirmations, and correspondence with clients.
  • All communication related to SBC-managed events must include SBC on copy.
  • Speakers must represent themselves professionally in all interactions with clients, event organizers, and partners.
  • Speakers must attend all scheduled meetings and arrive punctually.
  • All communications, online and in-person, must follow confirmed logistics and SBC coordination procedures.

Speaker Assigned SBC Representatives

  • Each speaker is supported by a designated member of the Client Services & Event Coordinator team who will serve as their primary point of contact.
  • Event Coordinators are responsible for mastering speaker content, understanding topic expertise, and securing bookings for events.
  • Client Service Representatives oversee agreements and payments, coordinate travel logistics, distribute promotional materials, organize itineraries, and serve as the ongoing contact for upcoming engagements and post-event feedback.

Meetings and Coordination with SBC Representatives

  • Speakers will meet directly with their assigned representative to discuss bookings, content alignment, agreements, and event logistics.
  • These meetings ensure consistent communication, accurate event preparation, and ongoing profile development.
  • Regular quarterly meetings are encouraged to review current speaking trends, fee updates, event feedback, and speaker performance.
  • All meetings can be scheduled directly through the assigned representatives by email or calendar link based on speaker availability.
  • One larger meeting will be held in December with SBC leadership to review profile improvements, assess speaking trends, and set strategy for the upcoming year.

WhatsApp for Streamlined Communication

  • WhatsApp is our primary platform for quick availability checks and timely responses.
  • Profile updates, large information, contracts, connections with clients all managed through email.
  • We create a group chat with each speaker and our team.
  • This streamlines communications and keeps everyone updated in real-time.
  • WhatsApp serves as the quickest way to reach us for urgent matters.
  • Emergencies are best managed by telephone.

WhatsApp Set Up: First Steps

  • Download the WhatsApp app if you haven’t already.
  • Enable notifications for our chats.
  • Send a message to our team to create a WhatsApp group chat.

  • We will create a group chat with directions.
