Presentation Formats & Rates
Presentation formats and presentation length requires different preparation and produces different fees. Understanding the format rate structure ensures accurate budgeting and realistic planning. For further information: https://speakerscanada.com/sessions/
Base Rate
Applies to speakers delivering a single session at the event. Single sessions vary in length based on format but are priced at the same base rate. Common formats include keynote presentations, virtual presentations, workshops, breakout sessions, fireside chats, moderated Q and A, moderators, and panel discussions.
Base Rate Pricing
Lower end of the fee range without discounts. Set based on experience, demand, reputation, expertise, familiarity and availability.
Half Day Rate
Applies to a speaker being utilized for up to 4 hours on one day. Includes combinations such as keynote plus breakout sessions, half day workshops, or half day emcee duties totaling 3 to 4 hours. Speakers can contribute across formats based on event needs.
Half Day Pricing
Base Rate plus 10% to 30% of Base RateIncrement scales with fee level. Higher base rate = higher increment. Lower base rate = lower increment.
Full Day Rate
Applies to multiple sessions in one day, full day workshops or full-day emcee assignments totaling 5–8 hours. Represents full day access to the speaker across formats, sessions, and interactions.
Full Day Pricing
Base Rate plus 20% to 60% of Base RateTypically calculated as double the half day Increment under the same structure as half day pricing.
-
Multi-Day Rate
Applies when a speaker is engaged across two or more event days. Each additional day is negotiated separately, with sliding scale discounts commonly applied for consecutive day bookings through the same bureau. For events scheduled throughout the year, similar sliding scale pricing may apply, with travel costs applied per event. As the number of sessions or events increases, the fee per engagement is typically reduced, improving overall value and the average cost.

Additional Costs to the Fee
Taxes and travel expenses are often not included in a speaker fee, and are determined by industry standard set each year by the Canadian Revenue Agency (CRA). For further information: speakerscanada.com/travel-expenses.
-
Travel Expenses
Travel rates are determined based on the speaker’s location to and from the event location, set annually by the CRA. For international events, additional costs such as visas, extended travel days, and higher travel rates may apply and should be planned into the budget.
-
Video Licensing
External distribution, rebroadcasting, or using videos for training require licensing which have additional fees. Travel, per diems, and accommodation outside normal ranges may also add to costs and should be discussed at the time of booking.
-
Production & Materials
Audio-visual, staging, and production are provided by the Host. Workshops may require additional fees for materials or workbooks to be printed out. Books and online training are purchased separately, with bulk order rates available.
-
Additional Sessions
A modest increase applies for additional sessions on the same day. A larger increase applies for additional sessions on different days, with discounts applied for multiple bookings. Booking speakers for multiple sessions or events saves you money and creates more value in the long term.
-
Implementation Packages
Additional fees apply for extended engagement beyond the keynote, including workshops, strategy sessions, and follow up support. Scaled pricing is often available based on scope, duration, and number of sessions, with efficiencies gained when packaged together. Implementation packages extend value by supporting application, reinforcement, and long term impact with a familiar voice beyond the event.
Common Myths About Speakers & Their Fees
-
1
It’s Easier and Cheaper to Book Speakers Outside of Agencies
Speaker fees are identical whether booked through a bureau or directly. What changes is the experience, protection and support you receive. Speakers are busy, qualifying speakers can be a challenge and bureaus offer quick communication and access to vetted talent with contract safeguards, negotiation expertise, and full logistics management. All at no added cost.
-
2
Is It Cheaper for Less Time?
In most cases, no. A 20-minute session often costs the same as a 60-minute presentation. Shorter presentations can require more precision, planning, and preparation. Every presentation, regardless of length, reflects a full process of preparation, storytelling, and strategy, the delivery is simply the final step.
-
3
A High Fee Means a High-Quality Speaker
Price does not equal fit or impact. An overpriced speaker mismatched to your audience delivers poor ROI regardless of their fee. The right speaker is the one best aligned to your goals, audience, and format, not simply the most expensive option available. The speaker market has increased with many new names, often without the skills, credibility and experience while charging a high fee.
-
4
Workshops Cost More Than Keynote Presentations
Keynote presentations up to 60 minutes plus Q&A are typically priced at the same base rate as workshops up to 2 hours. Half day and full day workshops include an incremental increase and therefore have a higher fee. Workshops booked at the base rate are often standardized, with limited customization, interaction, and audience-specific relevance
-
5
The Bigger the Name, The More It Costs, The Better the Speaker?
Celebrity and fame do not guarantee relevance or impact. A well-matched speaker with deep expertise in your topic will outperform a household name every time. The best speaker for your event is the one who connects with your specific audience and delivers measurable outcomes, not the one with the most followers.
-
6
You Only Invest in Speakers for Large Events
Intimate sessions, team offsites, leadership retreats, and small professional development days often benefit most from a focused speaker. Audience size does not determine impact, relevance and delivery do. Some of the most powerful speaker engagements happen in rooms of twenty, not two thousand.
Common Myths About Speakers & Events
-
1
Does Anyone Even Remember the Speaker?
Research consistently shows that the speaker is the most remembered element of any event, more than the venue, food, or agenda. A great speaker creates moments that attendee’s reference for years. The right speaker becomes what people talk about, what they share with others, and are the experience driven memory of the event itself.
-
2
Speakers Use the Same Talk for Every Event
Professional speakers customize content for each audience, industry, and objective. A generic talk is a red flag, not the norm. The best speakers invest significant time understanding your organization, your people, and your goals before crafting a session that feels built specifically for your room.
-
3
Speakers Just Show Up and Talk
Most professional speakers invest 15 to 25 hours per engagement in research, content customization, and preparation before stepping on stage. They must combine their education, expertise, researched trends with stories, humour and practical insights. The delivery is the final step of a long process designed entirely around your audience and objectives.
-
4
Once the Speech Is Done, the Value Ends
The impact of a great speaker extends well beyond the stage. Post-event conversations, behaviour shifts, team alignment, and cultural change are all downstream effects of a well-chosen speaker. The right investment continues to deliver long after the event has ended, and the stories, practical insights, and resources they provide can live on for years to come.
-
5
A Speaker Who Was Great Last Year Will Be Great Again
Audiences change, topics evolve, and expectations shift. A repeat speaker rarely lands the same way twice. Bringing back the same voice without a fresh perspective, risks disengaging an audience that has already heard the speaker or same message. Audiences must be enlightened by different topics each year, and organizations look for speakers who specialize in topics each year demands.
-
6
Virtual Speakers Are Less Effective Than In-Person
Top virtual speakers consistently match or outperform in-person delivery in engagement, reach, and measurable outcomes. Format does not determine impact, preparation, connection, and content do. Virtual also expands access to speakers who would otherwise be unavailable or cost prohibitive. You can also get the same message across the organization in one event at the right time.
