We appreciate your investment in updating your profile on the Speakers Bureau of Canada’s website. Our Profile Updates Team manages all requests to ensure accuracy and consistency across all profiles. Your profile is the primary reference point for clients and colleagues when making booking decisions. Speakers are represented as part of a collective that includes Canada’s top experts, public figures, and athletes, and each profile must be developed with the intention of making a lasting impression.
Profile Updates Standards & Recommendations
Media & Content
- Use content and materials for social media posts.
- Ensure investment in high quality media for social platforms and your presence on each platform.
- Low resolution media, incomplete content, or missing information limit booking opportunities.
- Video, updated content, social media presence, and ongoing updates are required for profile positioning.
- Media done correctly leads to higher engagement, bookings and credibility.
Update Recommendations
- Submissions that do not meet standards may be denied or edited by our team.
- Review speaker profiles on the website and compare each category with the Speaker Profile Category Standards.
- Analyze each category to understand the requirements.
- Apply best practices demonstrated by other speakers to align content with standards.
- Share resources with partners who assist in developing content
- Partnerships for content or media based on verified references.
Profile Update Tools
- Keep an archive of past presentations, slides, feedback and content documents organized on a cloud.
- Upload recordings of speaking, meetings, coaching, or consulting sessions into ChatGPT project or a similar AI tool.
- Use transcription for calls with clients to create written transcripts from recordings.
- Ask the AI platform to extract keywords, stories, and themes from each transcript.
- Create a separate project to store keywords in one large chat.
- Use the most popular keywords to update or write new topics, descriptions, and presentation outlines.
- Meet with SBC annually to review your materials and update your profile.
Recommended Update Schedule
- Larger profile overhauls submitted before mid-August or mid-December.
- Research and update knowledge to improve expertise on an ongoing basis.
- Topics, bio, and testimonials updated annually.
- Highlight reel or speaker reel required as primary investment.
- Videos collected regularly and highlight reel updated annually.
- Highlight reel or speaker reel replaced every 2–3 years.
- Headshots replaced every 2–3 years.
On Site Requirements Documents
- There are documents or forms for each category on the website.
- Please submit the information to standard, within our guidelines comprehensively.
- If biographies or headshots change, the document will be updated on our side.
- For any other changes, contact your SBC representative to receive the current document and provide updated information.
- Ensure the On-Site Requirements document is filled out in its entirety.
- It is shared with clients along with your profile, headshots, and the event itinerary once you are booked.
- The information provided is combined with your profile assets to create the complete speaker media kit.
- Please let us know if you require to update the document before making your update so we can send your way.

- Please submit all updates directly to our Profile Updates Team and save this contact for future submissions.
- A member of our team will coordinate with other staff to schedule your update in the order received.
- Our team receives a large number of updates so please allow some time for the update to be complete.
- They are limited to commit to ongoing communications until the update is complete.
- Updates take 14-21 days due to the high volume of requests. To ensure accuracy, updates must follow the guidelines below.
- For urgent matters, please send a WhatsApp message in the group chat or directly to an SBC employee.
Update Policies
- Updates not sent in one email thread on the correct document will be lost, delayed, or denied.
- Include instructions for each item indicating edit, replace, or add.
- Provide instructions for position or order of preference where applicable.
- Send all updates in one email thread including instructions and cloud links or documents.
- Do not send multiple emails for the same update.
- Do not change the subject line of the update email.
- Provide access or share permissions for any cloud or file transfer service.
- Organize folders with clear labels and label all files.
- Accepted formats: Word documents and Google Docs shared via Google Drive, WeTransfer, or Dropbox.
Update Confirmations
- Our team will notify you when the update is complete and provide a link for review.
- We will provide a summary of accepted and denied items and identify any missing information required.
- Confirm that positioning and content are aligned with your standards.
- Provide feedback for edits, positioning, and replacements to the Profile Updates Team.
Speaker x SBC Team Meeting
- Please advise if you have connected with our Event Coordinator Team for a meeting.
- If not, please be prepared to inform us upon receiving the first email from Profile Updates.
- The Event Coordinator Team is responsible for booking speakers and will schedule a meeting.
- In the meeting they will review your profile, discuss your speaking, and align operations.
- They will assign point of contacts for each process to ensure you remain connected and informed.
